Job Description


 


Job Title: Event and Volunteer Coordinator


Department: Visitor Services


Status: Continuous Full-Time 


Regular hours: 37.5 hours per week, 5 days per week or as operations
require.

 

Supervision:  

Reports to the Executive Assistant and the Executive Director. Supervises
seasonal employees and volunteers.

 


Purpose of the Job:


The Event and Volunteer Coordinator assists the Executive Director (ED) with
planning, implementation and evaluation of all special events, school
programming and visitor services. The Coordinator is responsible for
management of the gift shop and maintenance of the volunteer and membership
programs.  The Coordinator assists the Executive Director with
administrative duties and supervises the seasonal employees who assist with
visitor services activities.

 


DUTIES:


 


Assisting the Executive Director with Administrative Duties (25%)


.         Managing the telephones and correspondence 

.         Taking minutes at staff and board meetings 

.         Assisting with bookkeeping and other administrative duties as
required

 

Special events, school programming and visitor services. (40%)

.         Working with the ED, the EA assists in creating a yearly schedule
and assists with all special events.

.         Assist with preparation and placement of ads for all museum events


.         Assist with design, implementation and evaluation of all museum
events. 

.         Assist with development of school programming and conducting
school tours 

.         Conducts general public tours when necessary and assisting other
staff with special museum tours. 

.         Trains seasonal staff in visitor services and tours

.         Schedules seasonal staff to assure the museum is adequately
staffed during all open hours in the summer months. 

.         Meets and greets visitors and groups coming to the museum. 

.         Works in the gift shop office and acts as a first contact for
visitors 

 

Gift Shop Management (20%)

.         Keeps an inventory of Gift Shop stock 

.         Arranges Gift Shop displays of goods for sale to the public 

.         Orders stock for the Gift Shop and manages a consignment list

.         Maintains a clean and orderly work environment 

 


Maintaining Volunteer and Membership program (10%)


.         Maintains a database of all members and volunteers 

.         Administers membership program 

.         Assists with recruitment of new volunteers 

.         Assists with supervision and coordination of volunteer including
scheduling 


 


Other (5%)


.         Other necessary duties as assigned by the ED to ensure the
efficient operation of the institution.

 


QUALIFICATIONS


 

Experience Requirements and Skills:

 

.         At least three years of experience in administrative assistance,
retail operations, and or visitor services within a cultural institution. 

.         Excellent computer skills. 

.         Strong oral and written communication skills

.         Strong interpersonal and team work skills

.         Strong organization skills

.         Ability to take initiative in areas of responsibility and complete
tasks  

.         Ability to work with diverse organizations and members of the
community 

.         Ability to meet deadlines 

 

Other Desirable Qualifications:

.         Volunteer management experience and training

.         Bookkeeping experience and training

.         Retail management experience

.         Ability to speak a second language

 

Education Requirements:

Grade 12 diploma and completion of business administration, business courses
and/or cultural organization operation training.

 

Other Considerations:

.         Preferably have Class 5 Driver's License.  

.         Some work on evenings, weekends and holidays. 

.         On-the-job learning of new techniques and duties as operations
change and grow.

.          Equipment used: Computer, printer, scanner, photocopier
