Position Overview:
The Penticton Art Gallery is looking to hire an Administrative Assistant to assist staff members with administrative and creative tasks. Duties range from: managing correspondence with visitors and other outside parties, monitoring visitors, assisting in special events planning, documenting of the collection, maintenance of gallery's computer systems and audio-visual equipment, and maintenance of the gallery's website, ensuring that it along with our social media outlets, are kept up to date.
Additional duties include: the setup and breakdown of exhibits and special events, coordinating the bi-monthly mailing of the ArtsLetter and invitations, assisting with publicity for events at the gallery. The Administrative Assistant is responsible for managing the gallery's information technology and computer systems, and must be proficient in the software that is used at the gallery, including photo-editing programs.
Responsibilities:
Primary Duties
Publicity and Promotion
1) Maintaining of the gallery’s website and social media platforms
2) Production of the bimonthly Arts Letter along with its possible redesign
3) Development and maintenance of a sponsorship program and ad sales in the ArtsLetter
4) Occasional development of catalogues and other in-house publications.
Administrative Duties
1) Documentation of donations intended for the permanent collection and those for fundraising purposes.
2) Learn how to do weekly bank deposit as back up as is needed
3) Learn how to do reconciliation of the Kitchen Stove Film Series as back up as is needed
4) Work with the bimonthly and weekly mail out and prepare Canada post documents
5) Ongoing cataloguing of the Permanent Collection and uploading on our website
Programming
1) Write annual Summer Student Grants (January/February)
2) Oversee the Creative Kids Summer Art program
3) Develop auxiliary gallery programming such as Painting and Pinots etc…
Other Duties
1) Fill in at the front desk as needed
2) Work at bimonthly exhibition openings & special events as needed (art auction etc ...)
Qualifications:
College Diplomat or Degree preferred
Minimum two years’ experience
Proficient in English (written and spoken)
Experience with creation of written or graphic content in the form of social media messages
Computer experience in word, excel spreadsheet
Organizational skills and attention to detail

Working Condition:
Workweek: Monday to Friday, 9:00 to 5:00 (35 hours a week)
• May be required to work overtime and will be paid straight time
