Dear Mr. Murphy:
I strongly advise against any "permanent loans."
The words "permanent loan" send shivers up the spines of most museum people these days as they are often the cause of endless problems. Museums and galleries entering into such agreements end up storing items for someone else "forever" and are responsible for them but never own them. Owners die, change names, move away and items sometimes go missing or are damaged. It is not just individuals that experience these problems as organizations, corporations and societies change names (as yours did), change addresses and usually change key people frequently - and corporate memory is very short. In police terminology, old permanent loans are "Cold Cases" - often the most difficult to solve - and contrary to what we see on TV, many remain unsolved.
The current trend is to have loans (incoming or outgoing) of 1 year maximum duration and then both parties must communicate annually (thus the contact name, address, phone number etc. are updated) and decide whether or not to renew the loan for another year, discuss any condition changes and whether or not to adjust the insurance value. If a problem has occurred (e.g. a death, name change or address change) then at least the trail is warm.
The good news is that such an arrangement can be renewed annually ad infinutum if both parties wish. It does avoid having to try to find owners or their heirs 20, 50 or more years after they have dropped off the face of the Earth. I have had to do this type of detective work at a number of museums and it is very frustrating and difficult indeed.
Anyone that enters into a "permanent loan" as a borrower or lender is asking for trouble down the road. Instead, I recommend 1 year renewable loans, a win - win situation.

Subject: Canadian Art For Loan
Hello Mr.McAvity,
The Canadian Association of New York [formerly the Canadian Club of New York] owns a number of artworks by Canadian Artists. Until recently the works were displayed in a building we share with another organization. Others have been on loan to the Council General in London.
My reason for contacting you, is to explore the idea of making a permanent loan to a museum in Canada that might be interested in this art collection.
There are between twenty and thirty art works and a small number of antiques [see list below].
If you have an interest or can direct me to a museum that might be interested, then I will compile the list of works and artists.
Thank you in advance for your assistance,
Dennis J. Murphy
