Administrative Assistant

The Delta Museum and Archives Society (DMAS) is seeking a permanent,  
full-time (35 hours /week) Administrative Assistant.  The  
Administrative Assistant is responsible for office operations,  
promoting awareness of DMAS activities, assisting with special events,  
and providing administrative support to the Executive Director.  This  
position requires membership in CUPE 454.

The Administrative Assistant reports to the Executive Director.

Key Responsibilities:

Promotion of the DMAS? exhibitions, programs, services and special  
events through a variety of promotional materials and publications.     
Publications include, but are not limited to, brochures, posters,  
media releases, advertisements, newsletters and website. All  
publications produced through in-house resources and/or in  
consultation with suppliers.  Responsibilities include:

?	Preparation of publications and promotional material:
o	Establishing and maintaining submission and distribution deadlines.
o	Researching and collection of necessary information
o	Writing, editing and proofing of text
o	Selection of appropriate photographs and/or illustrations
o	Working closely with department staff for factual accuracy of all  
content (text and illustrations)
o	Preparing layout and design using desktop publishing software
o	Selection of printing materials
o	Consultation with suppliers, obtaining quotes for services and  
supplies and insure accuracy, quality and cost effectiveness of  
completed work.
?	Distribution of publications and promotional materials:
o	Establishing and maintaining a strong liaison with the media (paper,  
radio and television) and other community organizations.
o	Establishing and maintaining distribution list(s).
o	Consulting with community papers regarding advertising campaigns.

Administrative support to the Executive Director, including:
o	performing clerical duties, such as taking minutes, word processing,  
photocopying, faxing, filing, telephoning and mail for and on behalf  
of the Executive Director, sometimes on a confidential basis.
o	Preparing and maintaining records, reports and correspondence.
o	May take on the duties related to that of the Executive Director in  
his/her absence.

Assist with the coordination, planning and implementation of the DMAS?  
Annual Golf Tournament and other fundraising incentives and special  
events. Responsibilities may include:
?	event logistics, correspondence, communications and general administration:
o	invitations, name tags, kit/material preparation, registration  
coordination, thank you letters, budget, etc.

Financial bookkeeping of the DMAS, including:
o	Accounts payable (weekly disbursements, records and filing)
o	Account receivable (membership fees, deposits)
o	Petty Cash management
o	Prepare monthly Financial Statements
o	Reconciling monthly bank accounts
o	Liaising with the Auditor during year-end Audit

Qualifications:
o	Demonstrated ability to work both in a team environment as well as  
independently
o	Strong written and oral communication skills
o	Strong interpersonal, problem solving and planning skills are required.
o	Ability to develop cooperative working relationships
o	Ability to display a high degree of discretion in dealing with  
confidential documents and information.
o	Possess excellent organizational skills including the ability to  
meet deadlines and juggle competing priorities, with a high level of  
accuracy and attention to detail.
o	Comprehensive knowledge of Quickbooks is an asset.
o	Proficient with Microsoft Office (Word, Excel and Publisher).
o	This position will be subject to a Criminal Records Check.

Hours of work: Tuesday ? Saturday, 9:00 a.m. to 4:30 p.m.
Pay Rate:  $23.42/hour, plus benefits and RRSP.
