Contract Description: Sales and Operations Manager
Nature & Scope of Work
As the principal contractor of the Victoria Attractions Association (Attractions Victoria), the Sales and Operations Manager is responsible for the effective operation of the Association, for managing the AV office, for developing, advising and making recommendations to the Board of Directors with respect to AV programs and policies, and for the implementation of AV programs and projects including those of the committees.
The Manager serves as the primary liaison for the Association with external partners and members. The Manager makes independent operating decisions and develops procedures within policy guidelines set by the Board.
The Manager reports and is accountable to the Board through the President of the Board.
Responsibilities and Authority
Within the limits of the AV Constitution and By-laws, the Manager is responsible for and has the commensurate authority to accomplish the duties set forth below.
Publications and Media
* responsible for all advertising sales of the FREE MAP;
* responsible for the coordination and production and of the FREE MAP;
* responsible for the overall direction and content of the AV website, Facebook & Twitter;
* forwards news and announcements to the membership via monthly e-newsletter;
* acts as liaison to media outlets for advertising buys, SEO and keyword searches.
Programs and Events
* provides direction to AV committees and groups in planning programs and events such as BE A TOURIST IN YOUR OWN HOMETOWN;
* ensures all programs and events conform to the overall goals of the association;
* assists AV committees and interest groups in developing budgets and announcements;
* plans other events at the request of the AV Board.
Project Management
* coordinates projects and programs such as the DOWNTOWN AMBASSADORS established or approved by the Board, directs and supervises their implementation;
* ensures grant application to city of Victoria is submitted for Downtown Ambassadors;
* provides expertise and assistance on projects and programs to AV committees;
Membership
* serves as primary contact point for AV members;
* liaises with the Membership Committee to promote interest and participation in the Association's activities among approved members and approved prospects;
* coordinates membership programs and evaluates results;
* develops affinity programs for members in accordance with AV policy;
* monitors membership revenue and analyzes trends.
Conferences, Meetings and Trade Shows
* Responsible for representing AV and its members at approved conferences, trade shows, industry events and meetings;
* Reports on industry updates and happenings;
* Promotes the AV membership to business prospects;
Liaison and Support for Board and Committees
* develops, recommends for Board approval and implements policies and procedures;
* responsible for the effective maintenance of the business affairs of the Association in accordance with policies and procedures approved by the Board;
* attends all meetings of the Board of Directors and when requested, meetings of AV committees as an ex-officio (non-voting) member;
* ensures effective communication with all AV committees;
* provides the necessary liaison and staff support to committee chairs to enable them to perform their functions properly;
* develops, in conjunction with the AV President, agendas for Board meetings and prepares and distributes relevant material for meetings to all Board members;
* prepares annual and interim reports for the Board;
* facilitates, advises, and supports the action plans for all units of the Association.
Liaison with External Groups
* as directed by the Board, represents AV to organizations that liaise with the Association on a regular basis;
* attends meetings of external organizations as required;
* serves on committees of external organizations as required;
* reports to the AV Board in order to maintain effective relations with external organizations.
Lobbying and Public Relations
* maintains effective relationships with government and ensures that the positions of the Association and its members are presented in accordance with the policies and objectives of the organization;
* serves as spokesperson for the Association with the press when required;
* represents the Association at public functions;
* drafts and sends out relevant press releases to media outlets;
* establishes and maintains such relationships with other associations, government, publishers, public service organizations and vendors as are desirable or necessary.
Administration and Budget
* controls, maintains, and modifies the organization, structure and operation of the AV office to ensure that all approved policies, procedures and activities are implemented without undue delay and administered effectively;
* subject to policy, has responsibility and authority for staff hiring, training, scheduling, supervising, evaluation and compensation;
* develops and maintains appropriate budgetary procedures with the Treasurer, oversees expenditures of budgeted funds;
* responsible for the day to day finances of the Association, maximizing current and developing new revenue streams;
* at the direction of the Board of Directors, seeks new funding or grant opportunities;
* executes contracts and commitments on behalf of the Board;
* records minutes at all meetings of the Board of Directors;
* maintains official files for the Association;
* maintains a manual of policies and procedures.
Other
* executes such other responsibilities as may be delegated by the President or Board Committee.
Qualifications and Experience
* Exceptional experience with sales and marketing;
* Proven planning, administrative, supervisory and budgeting skills;
* Excellent written and verbal communication skills;
* Excellent interpersonal and teambuilding skills;
* Ability to mulit-task, delegate, and meet deadlines;
* Must be able to work independently with minimal supervision;
* Knowledge of tourism sector and local industry;
* Knowledge of non-profit association rules, regulations and CRA guidelines;
* Solid knowledge of making advertising buys and dealing with media;
* Knowledge of website content management and adept with social media for business;
* Preferred experience in fundraising and grant application writing;
* Preferred experience in managing CRM databases;
* Good working knowledge of MS Office suite;
* Graphic design skills are an asset;
* Association management experience a definite asset;
* Must have access to own transportation including valid Class 5 BC driver's licence;
* Must be able to travel on Association business.
Compensation: This is a one-year contract position, with a probationary period. Anticipated start date will be mid-to-late October 2013. Because this is a contract position, the average hours per week will vary widely depending on the time of year and some evenings/weekends will be required.
