JOB OPPORTUNITY
Position: Rentals and Sales Coordinator
Salary: Pay Grade 19 ($21.75 - $25.59)
Reports To: Manager of Marketing and Sales
Posting Date: March 9, 2016
Closing Date: March 22, 2016
Nature of Position: Working within the Marketing and Sales department, the Rentals and Sales Coordinator is responsible for achieving aggressive sales targets for venue rentals, group and corporate sales. Reporting to the Marketing and Sales Manager, the Coordinator will maximize revenues from MOV rental spaces by developing new prospects, improve promotions and marketing, and increase return rate of existing customers. In addition to venue rental the Rentals and Sales Coordinator will market MOV’s exhibitions to local corporations, associations, community groups and institutions.
Major Duties and Responsibilities:
Develop sales plans in conjunction with MOV senior staff.
Administer all rental and corporate sales enquiries.
Schedule and deliver client visits.
Liaise with MOV Visitor Experience and Operations staff, as well as with City of Vancouver staff to ensure smooth facility operations and to identify opportunities for improvement.
Proactively assess facility issues and report deficiencies to MOV and City of Vancouver personnel.
Develop prospect list and proactively engagement prospective clients.
Contract and invoice development.
Maintain current and accurate customer files and information.
Communication of MOV policies and regulatory obligations to clients and ensuring they fulfill their obligations.
Develop and continually refine sales messaging.
Develop and execute processes and messaging for post-event follow-up and customer satisfaction evaluation.
Collaborate with Development, Operations and Visitor Experience staff to develop means to increase sales capacity and improvements to facility amenities.
Ensure Occupational Health and Safety Standards are met.
Provide concise reporting on sales targets and prospect development and provide suggestions for improvements to existing plans and strategies.
Generate reports related to sales activities and revenue data.
Provide excellent customer service for clients through the sales process and ensure delivery of exceptional service during event execution.
Collaborate with Visitor Experience Associate to ensure all deliverables are executed in the appropriate fashion and ensure client satisfaction.
Liaise with members of Curatorial and Engagement, Visitor Experience and Finance departments.
Proactively problem-solve, maintaining MOV’s reputation for excellent customer service.
Required Qualifications, Knowledge, Education and Skills:
Thorough knowledge of sales strategies.
Proficiency in market analysis and ability to identify and develop potential clients.
Proven aptitude for sales in a similar environment.
Strong familiarity with Vancouver special event industry, event planners and current trends in the industry.
Exceptional interpersonal, relationship-building and customer service skills are essential.
Strong communication skills and ability to build positive working relationships with the marketing and sales team, the visitor experience team, and other MOV departments.
Excellent knowledge of computer systems and customer relationship management software.
Member of Meeting Professionals International (MPI) or Canadian Special Events Society or similar organization would be an asset.
Training in hospitality tourism or related subjects or equivalent training and experience.
Working knowledge of arts and cultural sector and the tourism industry in the region.
Experience in market research and analysis.
Strong awareness of the Vancouver business community.
Adept at identifying and pursuing sales prospects.
Proven record of developing prospects and ensuring positive relationships with existing customers.
Experience in proactively problem solving and ability to maintain customer focus.
Ability to work independently and to exercise independent decision-making and sound judgment
Ability to work flexible hours, including evenings and weekends when required.
Above average tolerance to stress.
Excellent attention to detail
Strong persuasion skills and aptitude for sales communications for a wide range of clients.
Proven record of in meeting or exceeding aggressive sales targets.
Required Experience
A minimum of two years of sales experience, preferably in the special event industry.
Hours: 35 hours per week. Weekend work is required, in addition to occasional evening work.
Note: This position falls under the jurisdiction of CUPE local 15.
